Delayed Bags: What to Do in the 48 Hours That Matter Most

A bag that misses your flight is not lost; it is on its way. The next two days determine how smoothly you get it back and how much of your expense the airline covers.

Delayed Bags: What to Do in the 48 Hours That Matter Most

The 24-hour bag delay is a normal-life event that happens to a small percentage of travelers on a normal-life day. Handling it well is not about panic but about paperwork. The couple of hours you spend at the airport on the day of arrival directly determine whether the bag arrives at your hotel the next morning or on day three.

Why bags get delayed

Most bag delays fall into one of four causes:

  1. Short connection at a hub. Your bag missed the connection while you made it.
  2. Weather causing a temporary handling suspension at a hub.
  3. System scan miss - the bag was not correctly loaded and is still at origin.
  4. Being routed to the wrong flight or destination (rare, about 1 in 10,000 bags).

The first two are the vast majority. Neither means the airline has lost your bag.

Reporting and tracking

File the PIR at the baggage service office. Then track through:

  • The airline's own bag-tracking page (e.g., delta.com/bags, ba.com/lostbags).
  • WorldTracer at worldtracer.aero using your PIR reference.
  • AirTag or Tile in the bag itself. This is the single most reliable tracker.

What you can spend

CategoryTypical reimbursement per day
Basic toiletries$25-50
Basic clothing (undergarments, T-shirt)$50-100
Business clothing if attending a work eventCase-by-case, up to $200
Charger, adapterActual cost
Medication replacementsActual cost, always covered

The airline pays these back after the fact, on submission of receipts through their delayed-baggage claim portal. Under U.S. DOT rules, checked-bag fees are also refundable if the bag is more than 12 hours late (domestic) or 15-30 hours (international).

The delivery step

Once the bag is located, the airline arranges courier delivery to your accommodation. Typical timeline:

  • 0-4 hours after location: assigned to a courier or ground handler.
  • 4-12 hours: bag is dispatched.
  • 12-24 hours: delivered to your hotel or address on the PIR.
  • Delivery is usually to the reception, not the room; you may need to be reachable by phone.

If you are changing hotels during the delay window, update the PIR with the new address as soon as you know it. Airlines follow the PIR delivery address, and rerouting mid-delivery adds another 24 hours.

Frequently asked

What if I need to fly onward before my bag arrives?+

Update the PIR with your onward flight and address. The airline will forward the bag to that airport. You are still eligible for essentials reimbursement for the extended delay.

Can I refuse delivery and pick the bag up myself?+

Yes, at the airline's lost-and-found office at the airport. Bring the PIR reference and ID.

What compensates a genuinely ruined trip?+

Nothing from the airline beyond the essentials reimbursement, unless you can prove exceptional financial damage. Travel insurance is the right vehicle for consequential losses.
