Travel Documents Checklist for International Flights

The document check is the one part of air travel where the airline has no flexibility. If your passport is missing a page, or expires 5 months and 28 days from now instead of the required 6, you will not be boarded. The good news is that every one of these problems is preventable with 15 minutes of preparation.

Passport basics

Two rules cover the vast majority of countries:

1. Six-month validity beyond your date of return. This is required by the Schengen Area, most of Asia, most of the Middle East, Brazil and Turkey. Some countries (like Mexico, Canada and the UK) only require validity through your stay.
2. Two blank pages in most countries, three or more in South Africa, China and several others.

A common trap: you renew your passport but forget that airlines use the machine-readable zone. A brand-new passport can be rejected if your booking has the old passport number and you did not update it before check-in. Update passport data on your booking as soon as you get the new document.

Visas and visa waivers

Three main categories, each with different lead time:

Electronic authorizations (fast)

• United States - ESTA (for Visa Waiver Program countries): apply at least 72 hours before travel, approved usually within minutes, valid 2 years, USD 21.
• Canada - eTA: minutes to hours, valid 5 years, CAD 7.
• Australia - ETA: 12-24 hours typically, valid 1 year, AUD 20.
• UK - ETA: minutes to 3 working days, valid 2 years, GBP 10 (rolling out globally through 2025).
• Europe - ETIAS: launching in the second half of 2026, valid 3 years, EUR 7. Not yet required.

eVisas (medium)

• India - eTourist / eBusiness visa: usually 3-5 working days.
• Turkey - e-Visa: minutes for most nationalities.
• Kenya - eVisa: 2-3 working days.

Consular visas (slow)

China, Russia, most Central Asian countries and some African countries still require applying at the embassy or consulate. Budget 3-6 weeks minimum, sometimes with mandatory biometrics.

The full checklist

1. Passport with at least 6 months validity beyond return.
2. Visa or electronic authorization, printed or saved offline.
3. Onward or return ticket - many countries require proof.
4. Proof of accommodation for the first night at least (hotel booking or invitation letter).
5. Travel insurance certificate (mandatory for Schengen, Cuba, Russia).
6. Vaccination certificates if required (yellow fever for parts of Africa and South America).
7. Driver's license (International Driving Permit if renting a car outside your country).
8. Two printed copies of your itinerary, one carried separately from the original.
9. Emergency contact card in your wallet, in English and the local language.
10. Backup credit card, stored separately from your primary wallet.

Extra items for families

Traveling with a child adds paperwork that is easy to miss:

• Child's birth certificate, especially for single-parent travel. South Africa and several other countries require the unabridged version.
• Notarized consent letter if traveling without both legal guardians.
• The child's own passport - infants cannot travel on a parent's passport anywhere in the world since roughly 2012.
• Any required medications in original labeled containers, with a doctor's note for injectables.

Digital backups

Store scanned copies of every document in three places: an email draft to yourself, a cloud folder (Google Drive or iCloud), and an encrypted note on your phone. If your passport is stolen abroad, the digital copy dramatically speeds up the emergency travel document process at your embassy.

Do not photograph the passport once. Photograph it every time it is renewed and delete the old ones. Airlines and border officers regularly reject expired document scans.
